Barry holds volunteers' personal details, such as their contact details, emergency contacts and application answers. Your login protects all of it, so it's worth a few minutes to set it up well.
Use a password manager app
A password manager app remembers your passwords for you. You can use a long, different password for every site without having to remember any of them. Some you may already have: Apple Passwords (built into iPhone, iPad and Mac) and Google Password Manager (built into Chrome and Android). Others include 1Password and Bitwarden.
- When you accept your invite, Barry asks you to choose a password. Most password managers offer to suggest a strong one. Accept the suggestion and the app saves it for you.
- If you already have a Barry password, log in as normal. Most password managers then ask whether to save it. Select Save.
- Next time, go to the Admin Login page and select the Email box. Your password manager offers your saved Barry login. Choose it and your email and password are filled in for you.
Your 6-digit codes
Some password managers can also hold your two-factor login codes and fill them in for you, including Apple Passwords, 1Password and Bitwarden (on some plans). When you set up two-factor login, scan the QR code with your password manager instead of a separate authenticator app. Then your password and your code are in the same place.
If you do this, protect the password manager itself well: give it a strong main password, and turn on its own two-factor login or Face ID.
Changing phones? Move your authenticator app or password manager to your new phone before you wipe the old one. Most apps have a transfer or backup option. If you lose it, ask a Super User in your organisation to reset your two-factor login.
Good habits
Lock your computer when you step away from it, especially at the Front Desk on the day.
On a shared computer, select Log Out when you've finished, and don't let the browser save your password there.
Don't share your login. If someone else needs access, ask a Super User to invite them, so they get their own login with the right permissions.
Files you download from Export contain volunteers' personal details. Keep them off shared drives and out of emails where you can, and delete them once you've finished with them.
Passkeys
A passkey lets you log in with your fingerprint, your face or your phone's PIN instead of a password. Nobody can guess it, and it won't work on a fake site that looks like the real one. Barry doesn't support passkeys yet. Until it does, a password manager gives you most of the same convenience.
